We are seeking an experienced reliable and organized Administrative Assistant to support the owner and help enhance the efficiency of our operations.
**Job Summary: **
As the Executive Administrative Assistant, you will play a crucial role in managing daily administrative tasks, facilitating communication, and ensuring that projects run smoothly. You will work closely with the owner to streamline processes and support the overall operations of the company.
**Key Responsibilities: **
- Manage the owner’s schedule, including appointments and meetings.
- Prepare and edit correspondence, reports, and project documentation.
- Coordinate project timelines and deadlines, ensuring all tasks are on track.
- Maintain organized files and records related to projects and contracts.
- Assist with invoicing, billing, and financial record-keeping.
- Communicate with clients, subcontractors, and suppliers as needed.
- Handle various administrative tasks, including filing, data entry, and office organization.
**Qualifications: **
- Proven experience as an administrative assistant or in a similar role, preferably in the construction industry.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- High level of discretion and confidentiality.
- A proactive approach to problem-solving and strong attention to detail.
**Education and Experience: **
- [High school diploma or equivalent; additional certifications in administration or construction management are a plus]
- [3 years of experience in an administrative support role]
