Position Summary


Performs a wide variety of clerical support services to assist the efficient operation of the International Academy of Macomb office while maintaining confidentiality.


Duties and Responsibilities

(These duties and responsibilities are judged to be "essential functions" in terms of the Americans with Disabilities Act or ADA)



  • Greets community, staff, and students to the office; uses proper business etiquette to answer telephone calls and emails.
  • Accesses the attendance telephone line, documents, and monitors student attendance, and approves releases from school and issues passes; logs daily absences and tardies retrieved from phone calls, teachers, running appropriate reports as needed, etc.
  • Assists in running/printing other reports from PowerSchool, such as schedules, parent portal information, etc.
  • Assist in processing student registrations.
  • Assist in maintaining student records.
  • Assist in maintaining immunization and other health records.
  • In collaboration with the health aide and/or in the absence of the health aide, dispense medication to students and maintain medication logs.
  • Assist in monitoring sick and injured students.
  • Maintain and monitor MCIR/immunization and other health records.
  • Assist in scheduling and processing building use requests.
  • Distribute incoming mail and prepares outgoing mail.
  • Assists with distribution of parking permits and maintenance of parking permission spreadsheet log.
  • Assists with communication with parents/staff via SchoolMessenger
  • Assists with special events as needed throughout the year.
  • Assists student college applications and transcripts.
  • Collaborate and assist secretary with processing student registrations.
  • Collaborate with counselor to process transcripts for records requests as well as for colleges and universities. This is done in a paper format as well as through Parchment.com.
  • Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
  • Communicate with customers, employees, students, and other individuals to answer questions, disseminate, or explain information and address complaints.
  • Processes purchase orders and check requests.
  • Maintains and order supplies.
  • Updates staff documentation i.e., phone book, fan out, etc.
  • Maintains building calendar of events.

Education:

This position requires high school diploma or equivalent.


Experience:

  • No previous clerical experience required.
  • One year of related experience providing clerical support in an office setting preferred.


Knowledge:

  • Knowledge of basic math, required.
  • Knowledge of principles and processes for providing customer services, required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.


Abilities:

  • Ability to read and interpret district policies, guidelines, and government regulations, required.
  • Ability and willingness to participate in training classes, required.
  • Ability to write routine reports and correspondence, required.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
  • Ability and willingness to learn different software systems, required.
  • Ability to multi-task, be organized, meet deadlines, and work in a fast paced work environment, required.
  • Ability and willingness to work cooperatively with teachers, community, students and staff, required.

  • Word processing 40 wpm, required
  • Data Entry skills minimum 6000 stokes per hour, 95% accuracy, required

  • Excel, preferred
  • PowerSchool, preferred


Testing

Keyboarding, Word Processing, Basic Math, Alpha Filing, Customer Service, and Proofreading are required, Basic Excel, Basic PowerSchool are preferred.
