Administrative Assistant – Martinez Concrete LLC Allen, TX

Martinez Concrete LLC is the premier residential concrete service company servicing the North Dallas area and surrounding communities such as Allen, Fairview, Lucas, McKinney, Plano, Richardson, Sachse, Wylie and more. We have grown to need a new team member to help with customer intake and administrative tasks. Permanent position, full time, in office after training. We are seeking to hire a positive, reliable, motivated individual who is trustworthy, enjoys a fast-paced working environment, and is interested in growing with the organization. This position works directly with the owner/management; some of the duties will include answering calls, scheduling, administrative tasks, etc.

Job Details

Essential Duties and Responsibilities

  • Answer, screen, and manage calls in a courteous and professional manner.
  • Track leads from emails, phone calls, social media, website etc.
  • Schedule appointments with customers for staff and maintain schedule.
  • Maintain up-to-date knowledge of the services we offer.
  • Tech savvy, proficiency with MS Suite, CRM software, digital calendars, QuickBooks, Google Maps, fleet tracking, security monitoring, tablets, etc.
  • Communicate efficiently with management and colleagues.
  • Follow up with customers throughout project cycle.
  • Maintain customer reviews.
  • Submit 811 utility locate tickets and permit applications.
  • Send and manage invoices and payments.
  • Check, receive and send mail/deliveries.
  • Organize and manage paperwork and receipts.
  • Maintain work areas. Receptionist, office assistant, coordinator.
  • Manage social media pages. Construction assistant, construction receptionist.
  • Identifies and recommends measures to enhance reporting processes, tools, and methods.
  • Maintain office procedures and assist with administrative tasks.
  • Always represent and preserve company values at the highest level.
  • Oversee general office operations and maintenance.
  • Additional duties as assigned.

Schedule

  • 8:30am-5:30pm Monday- Friday (9am to 6pm in March through November)
  • Full Time
  • Occasional Saturday availability

Pay

  • Hourly pay $15-18 per hour depending on experience
  • Weekly or bi-weekly pay
  • Direct deposit

Qualifications and Requirements

  • Minimum Educational Requirements: High School or GED
  • Dependable, shows up to work on time and every day.
  • Available to work Monday-Friday, 8:30am-5:30pm.
  • Basic computer skills preferred to work with CRM software.
  • Exhibits polite and professional communication via phone and email.
  • Knowledge of appropriate software including Microsoft Word, Excel, and Adobe Acrobat.
  • Must be punctual and have strong time management skills.
  • Tech Savvy with CRM systems, Microsoft Suite, Google Maps, Emails, Web Browsing.
  • Interpersonal skills to support customer service, functional, and teammate support needs.
  • Attention to detail and strong organizational, planning, and problem-solving skills.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive information.
  • Must have a valid Driver’s License, own reliable vehicle. (Located 75002, 1 Location)
  • Work Location: Reasonable commute to and from the office. Live within 0-15 miles of 75002.
  • Must pass a pre-employment background check and drug screen.
  • Fluent in English and Spanish.
  • US work Authorization

Training

  • Understand products and services
  • Understand established procedures and enforce them.
  • Tech savvy with google maps, navigation, tablets, digital calendars, etc.

Physical Demands of This Position

  • Remain in a stationary position for extended periods of time.
  • Communicate by phone, in person and otherwise with clients, team members, and others.
  • Operate standard office equipment and keyboards.
  • Move throughout office and warehouse building.
  • Lift and carry or otherwise move items weighing up to 40 pounds.
  • Be able to adhere and apply established process protocol in a timely manner.
  • Complete tasks in an occasionally noisy office environment.
  • Spend several hours viewing computer screens performing tasks such as reading fine print, typing, data preparation and analysis, transcribing, and general computer use.
  • Using the spoken word to impart oral information to clients and to convey detailed verbal instructions to other teammates accurately, loudly, and/or quickly.
