ABOUT BROCK:
The Brock Group is a leading provider of industrial specialty services to clients around the world, with
headquarters in Houston, TX, and operating units in Canada, the United States, and Latin America. With
the Canadian head office in Nisku, the company supports routine maintenance, turnarounds, and
industrial capital projects by providing services including scaffolding and work access, insulation,
fireproofing, and asbestos abatement, for general maintenance, construction, turnarounds, and
shutdowns to western Canadian producers.
SUMMARY:
The Document Controller is responsible for daily Document Control & Management following client and
company standards for quality assurance and compliance. This position reports to the Field Controls Lead.
ESSENTIAL FUNCTIONS:
Document Management and Control
- Maintain and manage all project documents, ensuring that they are properly sorted, classified, andstored in the document control system.
- Implement document control procedures and policies to ensure compliance with industry standards and company requirements.
- Track and manage document revisions, ensuring that the latest versions are available to relevant stakeholders.
Quality Assurance and Compliance
- Ensure that all documents meet quality standards and comply with regulatory requirements, industry standards, and company policies.
- Conduct regular audits of the document control processes to identify areas for improvement andensure continuous compliance.
Coordination and Communication
- Serve as the central point of contact for document-related queries, providing assistance and guidance to project teams, contractors, and other stakeholders.
- Facilitate the efficient flow of documents between project teams, contractors, and clients, ensuring timely distribution and receipt of critical information.
Data Entry and Maintenance
- Accurately enter and update document metadata in the document control system, ensuring data integrity and consistency.
- Maintain comprehensive records and logs of all documents, including incoming and outgoing correspondence, transmittals, and other relevant documentation.
Archiving and Retrieval
- Develop and maintain an organized archiving system for easy retrieval of documents, ensuring that historical records are preserved and accessible.
- Respond promptly to requests for document retrieval from project teams, management, or external auditors, providing necessary documentation in a timely manner.
MINIMUM REQUIREMENTS:
• Minimum 5 years of experience in an Administrative role, preferably with project coordination
and management in the oil & gas industry would be ideal.
• Effective communication and interpersonal skills with a strong customer focus.
• Excellent organizational skills and multi-tasking capabilities; ability to thrive in a fast-paced
environment.
• Demonstrated skill and experience with invoicing, particularly for major projects.
• Excellent Microsoft Excel skills.
• Experience/training in Sharepoint would be ideal.
• Ability to work independently, focus oriented and self-motivated.
• Strong ability to handle a fast-paced work environment.
• Ability to work in a team environment as required.
• Excellent organization and time management skills.
• Attention to detail and accuracy.
• Insulation experience is an asset.
