Job Description

Job Summary: The General Office Coordinator performs a range of basic office activities to support Pipeline's daily operations. This role involves answering phone calls, emails, and other written communications, and greeting clients for office appointments. The candidate for the position will assist new clients in completing paperwork and entering demographic information into the electronic health record system. The General Office Coordinator will also coordinate the referral system for new clients, by organizing the intake and assessment process and creating the initial client appointments. The candidate will assist senior management with administrative tasks that include project coordination. There may be some accounts payable and receivable and data entry responsibilities. This is primarily an in-office position with some opportunity to work remotely.

Supervisory Responsibilities: None

Duties/Responsibilities:  
  • Manage calendars, schedule appointments, coordinate and attend meetings. 
  • Coordinate and manage all front office activities, including reception and mail handling. 
  • Maintain and organize files, both physical and electronic, ensuring access to confidential information. 
  • Assist with some administrative tasks as needed, to support various departments. 
  • Provide excellent communication and support to internal and external clients by addressing inquiries while always maintaining a professional demeanor. 
  • Prepare reports and presentations with statistical data, as assigned. 
  • Other duties as assigned. 

Required Skills/Abilities:  

  • Excellent verbal, written, and verbal communication and customer service skills.
  • Excellent organizational skills and attention to detail. 
  • Excellent time management skills with a proven ability to meet deadlines. 
  • Strong analytical and problem-solving skills. 
  • Proficient with Microsoft Office 365 and related software. 
  • Technical ability to assist in Zoom or other online presentations. 

Education and Experience:  

  • High school diploma or equivalent. Higher education preferred. 
  • At least three years’ office administration experience required.
  • Verifiable experience with healthcare administration, a plus. 

Physical Requirements:  

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds or more at times.
