This person would be passionate about the operations side. They would handle non-sales processes before we list homes or work with buyers, and after buyers/sellers go under contract. They will also function as the Broker/Lead Agent's Executive Assistant.
Responsibilities:
Specific items you oversee:
- Pre-listing process - preparing all listing docs, creating MLS, scheduling open houses, and setting up showing time preferences.
- Transaction coordination (oversight of all details, minus negotiations of financial details). Verify all docs have correct signatures and dates to ensure the transaction process goes smoothly.
- Coordinate home inspections.
- Manage drafts of contracts and offers.
- Extensive client and vendor communication for non-sales items.
- Organizing the Broker/Lead Agent's calendar and emails.
- Input client information into CRM, track transaction activities, and keep the process moving smoothly from pre-listing to closing.
- Responsible for payroll for salaried employees and realtors.
- Managing past clients' touch points (gifts, pop-by’s and events).
- Sending out marketing emails on the Broker/Lead Agent's behalf.
Each of these tasks has its own systems and approaches. The better you are at systems and streamlining processes to deliver faster and thorough - the better!
Your job is to deliver these items with speed, accuracy, and attention to detail with an upbeat, friendly attitude.
Qualifications:
- Active Real Estate license preferred but not required.
- Experience in Transaction Coordination is a must - License is highly preferred - at least 100+ total transactions (3+ years of experience).
- Previous experience in an Administration Role is a must.
- Applicants must possess exceptional organizational, verbal, and written skills.
- Motivated to serve people and provide excellent customer service.
- Ability to work in our Magnolia office 5 days a week starting out.
- Some college experience is preferred.
