Direct Report: Grants Compliance and Systems Coordinator

Employment Classification: Full Time/ At Will/ Non-Exempt

Position Summary

The Grants Manager works closely with the SVP of Grants and Community Impact and the Grant Committee to oversee all aspects of grant administration, including structuring, compliance, and communication. As the primary liaison for grantees, this role ensures alignment with NCEF’s funding strategies and mission. Additionally, the Grants Manager serves as a thought leader within the Grants Department, contributing to the strategic direction and impact of NCEF’s grant-making process.

Key Responsibilities

Grantee Relationship Management & Support

  • Serve as the primary contact and thought partner for grantees.
  • Provide ongoing support to grantees, ensuring alignment with grant goals and outcomes.
  • Identify and address grantee challenges, offering guidance and resources as needed.
  • Monitor grantee progress and support achievement of grant objectives.
  • Oversee internal administration and documentation of due diligence.
  • Facilitate opportunities for collaboration and networking among NCEF grantees.

Grants Processing & Compliance

  • Participate in intake and dissemination of grant applications.
  • Perform due diligence on prospective grantees and assess alignment with NCEF’s mission.
  • Conduct initial reviews of grant applicants and summarize key findings for the Grant Committee.
  • Review and process budget amendment requests from beneficiaries.
  • Track and ensure compliance with grant conditions, legal requirements, and fiscal commitments.
  • Maintain and update data in electronic grant management systems, ensuring accurate records of awards and payouts.
  • Assist with grants and financial data reconciliations, comparing budgets to actual expenditures.

Evaluation, Impact & Continuous Learning

  • Capture and analyze grantee activities and outcomes data.
  • Establish and monitor performance targets for grantees.
  • Conduct site visits and ongoing assessments to understand organizational and programmatic successes and challenges.
  • Seek opportunities to enhance grant-making and evaluation approaches.
  • Participate in sharing lessons learned to support team improvement and strategy development.
  • Develops a comprehensive understanding of assigned program areas, including emerging issues, key stakeholders, and relevant organizations, ensuring alignment with the Foundation’s mission and priorities.

Stakeholder Engagement & Strategic Partnerships

  • Build and maintain relationships with peer funders and community partners.
  • Assist in logistics, agenda-setting, and presentations for the Grant Committee.
  • Participate in Naples Winter Wine Festival events as needed.
  • All other duties as assigned.

Required Competencies & Skills

  • Bachelor’s Degree and at least 5 years of experience in nonprofit management, philanthropy, or grant-making.
  • Strong knowledge of nonprofit sector regulations and best practices.
  • Strategic and creative problem-solving skills with the ability to develop high-impact solutions.
  • Excellent analytical and critical-thinking abilities, including assessing qualitative and quantitative data.
  • Strong communication skills, both written and verbal, with the ability to present information clearly and concisely.
  • Highly organized with strong attention to detail.
  • Ability to multitask and adapt to shifting priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and grant management software.
  • Ability to work independently as well as collaboratively within a team.
